1. General
Thank you for joining us at Louma Farm and Retreat. We are very much looking forward to welcoming you to our patch of Earth in West Dorset.
Louma Farm and Retreat is the trading name of Grape Vibes Limited (registered in England and Wales with company number 12430631).
Louma Farm and Retreat is the controller of your personal data. Please read our Privacy & Cookie Policy to understand how we process your personal data.
2. Bookings
- All prices are inclusive of VAT
- All prices and information advertised are accurate at the time of publication and updated regularly. However occasionally changes and errors occur, and we reserve the right to correct prices and details in such circumstances.
- Upfront payment is required when booking your accommodation. Please note the room rate does not include any incidental charges you incur during your stay. These are payable before departure. If not paid prior to departure they will be charged using your previously provided payment details.
- All booking transactions are handled by a third payment gateway called Stripe. We do not process any credit card details on our website and cardholder data is secured by Stripe. For more details on Stripe regarding its Licenses, Privacy Policy, Cookie Policy or any other detail please visit https://stripe.com/gb/ or email hello@loumafarmandretreat.co.uk.
- Should you wish to change or transfer your confirmed booking, please request this in writing to hello@loumafarmandretreat.co.uk. This may be subject to an additional fee.
- Cancellations will be accepted without charge if a request is made in writing to
hello@loumafarmandretreat.co.uk a minimum of two weeks prior to the booking. There will be a 50% charge if cancellation is received less than two weeks and greater than 72 hours before the intended booking. Full payment will be taken if less than 72 hours’ notice is provided. We will always work with you to organise alternative dates, but this may be subject to an additional fee depending on the date of the revised booking and available accommodation.
- In reference to Terms & Conditions, references to “you” and “your” include the first person on the booking and all persons on whose behalf a booking is made.
- Certain Things to Do activities or experiences are complimentary and some require 100% payment in advance and any alteration or cancellation may incur a charge of up to 100% of the booking.
- Louma Farm and Retreat cannot be responsible for any loss, injury, damage, or any expense due to circumstances beyond Louma Farm and Retreat’s control or where Terms & Conditions have not been followed.
- You/your party may be liable for the full cost of the following:
o in the event of any damage or breakages, accidental or otherwise.
o additional cleaning when accommodation is left in an unacceptable condition.
o any non-complimentary items go missing which have been borrowed or allocated to you.
- You are asked to advise the Guest Relations Team via hello@loumafarmandretreat.co.uk at least one week prior to check-in of any pre-existing medical conditions, dietary or accessibility issues which may affect your stay, so that suitable planning can be made. We welcome guests with differing needs and will do our best to accommodate everyone.
- Louma Farm and Retreat is operated as a Serviced Guest House and therefore some services are not available 24 hours a day.
- Louma Farm and Retreat is an inclusive organisation. We value and respect the diversity of our guests, communities, and colleagues. Any behaviour towards our Colleagues or Guests which contradicts this will not be tolerated and Guests may be asked to leave the property without reimbursement.
- When using any facilities on the site please consider the enjoyment and peace of others at all times. This includes reserving facilities, music, general noise and unruly behaviour.
- Lost property will be kept at Guest Relations for four weeks once it has been handed in. After this period items will be sent to a charity of our choice. The owner is responsible for organising any items to be returned by post and associated costs.
- Louma Farm and Retreat is open for the exclusive use of its registered Guests. Day entry for family, friends and colleagues is not possible unless prior approval is received from the Duty Manager.
- Louma Farm and Retreat does not accept cash. All payments are taken by credit/debit cards or bank transfer.
- While we hope this will not be the case, should a room be unavailable upon arrival then an alternative accommodation for the same or greater value will be substituted.
3. Rooms
- A Housekeeping Service is available upon request. To minimise disturbance during your stay and in the interest of our sustainability principles this free service is made available if booked in advance and is subject to timing and availability. Linen and towels are provided and changed upon request.
- For those wishing to bring a dog/s, there is a charge which includes dog bed, towel and bowl. However, it is requested that in the interest of future guests, dogs are not allowed on the beds or furniture and that they are washed and dried prior to entering all living areas, dining rooms and accommodation.
- Dogs are not permitted in the Main House and Wellness Barn.
4. Services & Facilities
- Menus are seasonal and every effort will be made to accommodate dietary / allergy requirements, but this cannot be guaranteed.
- While the images on the website have all been carefully prepared, they are for illustrative purposes only and may not be representative at the time of your stay.
- Louma Farm and Retreat is a working farm and in order to look after the animals and maintain the land, vehicles and machinery will be in use and certain areas have restricted access. Please adhere to timings specified in notices and through communications on site. Louma accept no responsibility for any injury that a guest or their party could reasonably have avoided by following the advice provided by staff, signage and maps around the site, or which appears on our website.
- For operational, safety, technical or environmental reasons, Louma Farm and Retreat reserves the right to move, close, amend or cancel offers regarding Things to Do, areas or facilities. Timings when facilities are open may vary so, please speak to the Guest Relations Team for details.
- Hot tubs are used at guests’ own risk. No children under 16 should use the hot tub. Guests are requested not to eat anything or drink alcohol excessively in the hot tub and to refrain from entering if having drank alcohol excessively. No glass should be used in or surrounding the hot tub.
- It is very important that all incidents or accidents are reported immediately to a member of staff or to the Guest Relations Team.
- Parents and Guardians of children under the age of 18 years are responsible for their safety at all times. You are reminded that Louma Farm and Retreat is a working farm, and many areas require that children are supervised; unless participating in a supervised Things to Do experience or event.
- Supervision by parents includes, but is not limited to, in and around the following:
o Ponds
o Wellness Barn and Swimming Pools
o Forest and Woods
o Play Areas
o Arts & Crafts Bus
o Farming Facilities and Machinery
o Livestock
- The swimming pools have no lifeguard on duty. Anyone using them does so at their own risk. Those under the age of 16 years must be always accompanied by an adult. Diving and bombing are strictly prohibited.
- Please note the following about our ponds and watercourses:
o Swimming and paddling are prohibited.
o Certain areas are deep / beyond 2m.
o The ponds are naturally fed and untreated; hence they contain weeds, algae and other materials or wildlife which may cause irritation, entanglement, or other issues.
- The play area is designed to be adventurous and active, suitable for children under the age of 12 years. All children should be supervised by an adult.
- Bikes are available to guests through the Guest Relations Team but are dependent upon availability, and subject to a disclaimer. When using Louma bikes, helmets must be worn, and children are only permitted to use bikes when accompanied by a supervising adult. Louma is a working farm and therefore tracks and routes are irregular and used for working farm vehicles as well as fellow guests, their children and dogs. Louma Farm and Retreat will not accept responsibility for accidents and injuries.
- When using the Wellness Barn, guests will be required to sign a disclaimer in advance and are requested to sign in and out prior to use on each occasion. Children under the age of 16 years are not permitted to use the gym or sauna facilities.
- Louma Farm and Retreat is next to an Area of Outstanding Natural Beauty and as a commercial establishment is therefore prohibited from using mains power lighting in outside locations. Consequently, guests are therefore requested to use the portable lighting provided within the accommodation, and to contact the Guest Relations Team for additional lighting. Between dusk and dawn, there are marked areas where guests are asked to refrain from entering for their own safety.
- Owners are solely responsible for their dogs’ supervision and well-controlled behaviour. In the interest of the livestock and the enjoyment of others, dogs should be kept on a lead / leash at all times when outside of your accommodation. You will be liable for any damage or loss caused by them to the retreat or the livestock within it. Worry to livestock has the potential to also result in prosecution.
- For everyone’s enjoyment, safety and health of others and the protection of the site, Louma Farm and Retreat has a No Smoking and No Vaping Policy.
- Guests are requested to ensure that any personal electrical appliances and equipment brought to Louma Farm and Retreat have been well maintained and are safe to use to prevent danger.
- The following items are prohibited within the boundary of the premises: Any items which are, or appear to be, illegal – weapons, ammunition, explosives, fireworks, or any other item which in our reasonable opinion may cause danger or disruption to our Guests, staff or resident wildlife.
- There is a public bridleway through Louma Farm and Retreat and therefore non-Guests have the right to use the marked route; public using the bridleway may have dogs off a lead / leash, but we’d ask that you do not do the same.
- Louma Farm and Retreat has a number of staff with trained/experienced dogs who work with them and are familiar with machinery and livestock. These dogs may be off-lead / leash but will be distinguished by their Louma marking.
5. Photography and Copyright
- Nothing contained on the website shall be considered as granting any licence or as a given right to use our trademark. This also applies to any third-party intellectual property displayed on our website. Any usage will require our prior written permission. Any misuse of the trademarks on our website or other platforms is prohibited.
- Commercial photography, drone filming and filming (including at private functions) are not permitted on the site without prior consent from Louma Farm and Retreat.
